Understanding and managing task status in TaskCalendars.
Status Types
Tasks progress through different statuses:
Not Started
The default status for new tasks. Work hasn’t begun yet.
In Progress
Active work is being done on the task. Set this when you begin working.
Pending Approval
The task is complete but requires approval from a designated approver.
Completed
The task has been finished (and approved, if applicable).
Not Applicable
The task is not required for this period and will be skipped.
Changing Status
- Open the task detail page
- Click on the current status
- Select the new status from the dropdown
Or use the Kanban board to drag tasks between status columns.
Status Workflow
A typical workflow might look like:
Not Started → In Progress → Pending Approval → Completed
If issues arise:
In Progress → Not Applicable (skipped for this period)
Approval Workflow
For tasks requiring approval:
- Assignee marks task as Pending Approval
- Approver reviews the work
- Approver marks as Completed or returns it to In Progress
Tips for Finance Teams
- Update status promptly — accurate status gives controllers real-time close visibility without status meetings
- Use Not Applicable when a task is not required for a given period (e.g., a filing that doesn’t apply this quarter)
- Configure notifications so approvers are alerted as soon as a task is submitted for review
- Review the Dashboard daily during close week to catch anything falling behind
