Learn how to create and organize calendars in TaskCalendars for your accounting and finance workflows.
Creating a Calendar
- Navigate to Calendars in the sidebar
- Click New Calendar
-
Enter calendar details:
- Name - A descriptive title (e.g., “Q4 Month-End Close”, “Sales Tax Filings”)
- Description - Optional context about the close cycle or filing type
- Color - For visual identification across views
Calendar Settings
Visibility
Control who can see the calendar:
- Private - Only assigned members (recommended for sensitive financial tasks)
- Organization - All organization members
Default Views
Set the preferred default view for the calendar:
- Calendar view (good for deadline planning)
- Kanban board (good for tracking task status during close)
- Task list (good for detailed filtering and reporting)
Organizing Calendars
Recommended Structure for Finance Teams
- By Close Cycle — one calendar per month-end, quarter-end, or year-end close
- By Function — separate calendars for GL, AP, AR, Tax, Treasury
- By Filing Type — group related regulatory filings (federal, state, payroll)
Archiving Calendars
When a close period is complete, you can archive its calendar to keep it for reference while removing it from active views. Archived calendars are useful for audit trails.
Calendar Import
Import tasks from CSV files to quickly set up a new close checklist:
- Go to Calendars > CSV Upload
- Select your calendar
- Upload your CSV file
- Map columns to task fields
- Review and confirm import
