Learn how to create and configure close tasks in TaskCalendars.
Creating a New Task
- Click the New Task button in the sidebar
-
Fill in the task details:
- Name - A clear, descriptive title (e.g., “Reconcile Operating Account”, “Post Payroll Accrual”)
- Description - Additional context, instructions, or links to relevant workpapers
- Calendar - Select which calendar this task belongs to (e.g., Month-End Close, Tax Filings)
Task Properties
Basic Information
- Task Name - Keep it concise but descriptive; include the account or entity name where relevant
- Description - Add step-by-step instructions for the preparer, links to templates, or policy references
- Priority - Low, Medium, or High
Date Settings
- Due Date - When the task must be completed; supports business-day offsets (e.g., business day 3 after month-end)
- Start Date - When work should begin (optional; useful for multi-day tasks like audit preparation)
- Recurrence - Set up repeating tasks for monthly closes, quarterly filings, or annual deadlines
Assignment
- Assignees (Preparers) - Staff accountants or analysts responsible for completing the task
- Approvers - Senior accountants, controllers, or managers who sign off on completion
Organization
- Tags - Personal categorization that you define for yourself. Different users can assign different tags to the same task for their own filtering and organization. Your tags are visible only to you.
- Labels - Standardized categories defined by the calendar administrator. Labels are consistent across all calendar members — useful for grouping tasks by entity, account type, or reporting area.
Best Practices
- Name tasks after the work, not the person — e.g., “Bank Reconciliation — Payroll Account” not “Sarah’s Recon”
- Include instructions in the description — reduces errors and helps with cross-training
- Set business-day due dates — let the system adjust for weekends and holidays automatically
- Assign both a preparer and an approver — enforces the two-step sign-off required for most close tasks
