Common questions from accounting and finance teams using TaskCalendars.
Month-End Close
How does TaskCalendars help with month-end close?
TaskCalendars lets you define every step in your close checklist once — journal entries, accruals, account reconciliation, balance sheet reviews, management reports — with business-day-aware due dates. Each month it auto-generates the full checklist with the correct calendar dates, adjusted for weekends and holidays. Your team always knows exactly what’s due and when, ensuring successful month end close every period.
Can due dates adjust automatically for weekends and holidays?
Yes. For each task you can set a business-day offset (e.g., “business day 3 after month-end” or “last business day minus 2”). When that date falls on a weekend or holiday, TaskCalendars shifts it to the previous or next business day automatically. This is essential for maintaining your close calendar and month end close process accuracy.
How do I track close progress across the team?
Use the Dashboard or Kanban Board view to see every task’s status in real time. Controllers and managers can see at a glance what is Not Started, In Progress, Pending Approval, or Completed without chasing down individual team members. Monitor financial data and track progress toward successful month end close.
Recurring Tasks & Scheduling
How do recurring tasks work?
Define the task once with a recurrence pattern (monthly, quarterly, yearly, etc.). TaskCalendars generates an individual instance for each period with the correct due date. Each instance is tracked independently — completing February’s account reconciliation doesn’t affect March’s. This pattern works for both month end close process and year end close activities.
Can I set up tax filing deadlines that adjust for holidays?
Yes. Set up quarterly estimated payments, year end close activities, annual returns, sales tax filings, 1099 deadlines, and other regulatory deadlines as recurring tasks. The system automatically adjusts when a deadline falls on a weekend or federal holiday, matching IRS and state agency rules.
Can tasks be linked to other tasks?
You can use the anchor task feature to schedule one task relative to another. This is useful for close sequences where, for example, the management report is due 2 business days after reconciliations are complete.
Calendars
How many calendars can I create?
This depends on your subscription plan. Check your billing settings for current limits. Common setups include separate close calendars for Month-End Close, Tax Filings, AP/AR, and Audit Preparation. Each calendar can be tailored to specific aspects of your month end close process.
Can I share a calendar with auditors or external reviewers?
External users need to be invited to join your organization. Once invited, you can add them to specific calendars with Viewer access so they can monitor progress without making changes.
Tasks & Approvals
How does the approval workflow work?
When a preparer finishes a task, they mark it Pending Approval. The designated approver receives a notification, reviews the work, and marks it Completed or returns it to In Progress. This two-step sign-off is essential for account reconciliation, journal entries, balance sheet reviews, and revenue recognition tasks.
How do I delete a task?
Open the task, click the menu (three dots), and select Delete. Only admins can delete tasks.
Team & Permissions
What’s the difference between roles?
- Admin: Full control over tasks and calendar settings
- Preparer: Executes tasks and updates status (ideal for staff accountants handling account reconciliation and financial data)
- Approver: Reviews and signs off on completed work (ideal for senior accountants and controllers reviewing balance sheet and financial statements)
- Viewer: Read-only access (ideal for managers, auditors, or CFO oversight of the month end close process)
How do I invite team members?
Go to Organization Settings and use the invite feature to send email invitations. Then add them to the appropriate calendars with the correct role.
