Quick Start

1. Create Your First Calendar

Calendars are containers for your tasks. Start with one close calendar per close cycle or department:

  1. Click Calendars in the sidebar
  2. Click the New Calendar button
  3. Give your calendar a name (e.g., “Month-End Close”, “AP Reconciliations”, “Tax Filings”)
  4. Set visibility and assign team members
  5. Configure your close calendar for the month end close process

2. Add a Task

Once you have a calendar:

  1. Click the New Task button in the sidebar
  2. Enter a task name (e.g., “Post Accrual Journal Entries”, “Bank Reconciliation — Operating Account”, “Balance Sheet Review”)
  3. Select the calendar to add it to
  4. Set the due date rule (e.g., business day 3 after month-end)
  5. Assign a preparer and, if required, an approver

TaskCalendars offers multiple ways to monitor close progress:

  • Dashboard - Overview of upcoming and overdue tasks across all close calendars with financial data insights
  • Calendar - Visual monthly view of your close schedule and month end close process
  • Kanban Board - Track tasks by status (Not Started → In Progress → Pending Approval → Completed)
  • Task List - Detailed table view with filtering by assignee, status, or tag

Key Concepts

Tasks

Tasks are the core unit of work in TaskCalendars. Each close task has:

  • A name and description (e.g., step-by-step instructions for the preparer)
  • A due date rule with optional business-day adjustment for weekends and holidays
  • Assigned preparers and approvers
  • Status (Not Started, In Progress, Pending Approval, Completed, Not Applicable)
  • Tags and labels for filtering and reporting

Calendars

Calendars group related tasks together. Typical setups for finance teams:

  • Month-End Close — journal entries, accruals, account reconciliation, balance sheet reviews, management reports
